1. About This Notice

One Seven Consulting Pte. Ltd. (“One Seven”, “we”, “us”, “our”) is a licensed employment agency in Singapore carrying out executive search and recruitment. This notice explains how we collect, use, disclose, transfer, retain and protect personal data under the Personal Data Protection Act 2012 (the “PDPA”). It applies to candidates, referees, client contacts and website visitors, and to personal data held on our behalf by our service providers.

“Personal data” means data, whether true or not, about an individual who can be identified from that data, or from that data and other information we have or are likely to have. By providing personal data to us, or by continuing to deal with us, you confirm that you have read this notice and consent to the handling described here.

2. What We Collect and How

Candidates. Name and contact details, nationality and work pass or residency status, and date of birth where a work pass or client submission requires it. Curriculum vitae, career history, qualifications and certifications. Remuneration, benefits, notice period and availability. Interview notes, our own assessments, and test results where a client requires them. Reference and background verification results, where a mandate requires them and you have consented.

Referees. Name, employer, job title, relationship to the candidate, contact details, and the substance of what you tell us.

Client contacts. Name, job title, business contact details, and the content of our correspondence and meetings with you.

Website visitors. Information you submit through our forms, and technical data such as IP address, browser type and pages visited, collected through cookies and analytics. You can set your browser to refuse cookies, though parts of the site may not then work.

We do not seek sensitive personal data, including data on health, race, religion or family circumstances, unless a specific and lawful purpose requires it, and we will tell you why before we collect it.

How we collect it. Directly from you, from your authorised representative, from referees you nominate, and from our clients where you have applied to them. From public sources such as professional networking platforms, job boards and company websites, and from verification and assessment providers. Where your data comes from a source other than you, we will tell you at first contact where it came from.

3. Why We Use It and Who We Disclose It To

Candidates. Assessing your suitability for a role now or in future. Presenting you to a client, which includes preparing a profile, arranging interviews and passing on feedback. References and verification. Work pass applications. Negotiating an offer. Career advice and salary benchmarking. Keeping you on our database and telling you about roles that may suit you.

Client contacts. Providing and administering our services, including candidate submission, terms of service and invoicing, and managing the commercial relationship.

All individuals. Internal operations including accounting, audit, insurance and IT. Complaints, disputes and legal proceedings. Preventing fraud and impersonation. Meeting our obligations as a licensed employment agency, including record keeping under the Employment Agencies Act, and any other requirement of law. Where the PDPA permits use or disclosure without consent, we will rely on that basis instead.

Marketing and Do Not Call. We may contact you about roles and our services by telephone, email and messaging applications, and you may opt out at any time by replying to any message. We check Singapore numbers against the Do Not Call Registry before sending marketing messages, unless you have given clear consent in writing or an exemption applies.

We may disclose personal data to:

  • Our clients and prospective clients, where you are a candidate we are presenting. We seek your consent before sending your profile to a named client.

  • Referees you have nominated.

  • Service providers acting for us, including screening, assessment, IT and cloud hosting providers, and our accountants, auditors, insurers and legal advisers.

  • Government agencies, regulators, courts and law enforcement where required or permitted by law, and a party acquiring or proposing to acquire our business.

We do not sell personal data. We do not disclose a candidate’s identity to a client without consent, nor a client’s confidential hiring information beyond what the client has authorised. If you nominate a referee, you confirm you have their consent for us to contact them, and we will not approach a current employer without your separate permission.

4. Transfers, Retention and Security

Our clients and service providers may sit outside Singapore. Where we transfer personal data out of Singapore, we take reasonable steps to ensure the recipient is bound by obligations providing protection at least comparable to the PDPA. We keep personal data only as long as it serves a legal or business purpose. Data is kept for a reasonable period from our last substantive contact, unless a longer period is required by law or to protect One Seven Consulting Pte. Ltd.’s interest.

We protect personal data with access controls, encryption in transit, confidentiality obligations on our consultants and contractual protection with our providers. Where a breach meets the notification threshold under the PDPA, we will notify the Personal Data Protection Commission and, where required, the individuals affected.

5. Your rights and How to Reach Us

  • Request access to the data we hold about you, and to how it has been used or disclosed in the past year.

  • Request correction of any personal data that is inaccurate, incomplete, misleading or out of date.

  • Withdraw your consent to our use or disclosure of your personal data, for any or all of the purposes above. 

Send any request to our Data Protection Officer. We will respond within the timeframe the PDPA requires, and will tell you the amount of any access fee first. If you withdraw consent, or do not provide the data we ask for, we may be unable to present you to clients, and some data must still be retained by law.
